Cancellation & Refunds.
What it costs to cancel, what we can never get back, and how long a refund takes. The numbers are here in full so there is nothing to discover later.

Read your itinerary first.
Some packages — fixed departures, group tours, peak-season and festival dates, and anything involving non-refundable air tickets — carry their own cancellation terms, which are printed on the itinerary and override the standard slabs below.
How to cancel
Cancellations must reach us in writing — email or WhatsApp is fine. A phone call alone does not cancel a booking.

- Charges are calculated from the date we receive your written cancellation, during office hours
We will confirm receipt and send a statement showing exactly what is deducted and why.
Domestic cancellation charges

International bookings commit us to suppliers earlier and more firmly, which is why the windows are longer.
What is never refundable
Some costs leave our hands the moment they are paid and cannot be recovered whenever you cancel:
- Visa fees and visa service charges — payable to the embassy, non-refundable even if the visa is refused
- Air and train tickets already issued, beyond whatever the airline or railway itself refunds under its own rules
- Non-refundable hotel rates, which we use only where they materially reduce your price and always tell you about first
- Permits for restricted areas, and entry or activity tickets already purchased
- Travel insurance premiums once the policy is issued
- Bank and payment gateway charges on the original transaction
Where these exceed the slab charge, the actual cost applies rather than the slab. We will show you the supplier documentation for anything we deduct on this basis.
Refund timelines
- We process refunds within 7 working days of confirming the cancellation
- The money reaches you in 7 to 14 working days after that, depending on your bank
- Where a refund depends on an airline or overseas supplier returning funds to us, it takes as long as they take — often 30 to 90 days. We will tell you when we are waiting on someone else, and chase them
- Refunds are paid to the account the payment came from. We do not pay refunds in cash or to a third-party account
Changing rather than cancelling
Before you cancel, ask us about moving the dates. Shifting a trip is often much cheaper than cancelling it, particularly outside peak season.
- Date changes requested more than 30 days before departure usually cost only the difference in rates, plus any supplier amendment fee
- Closer than that, suppliers generally treat a change as a cancellation and rebooking
- Reducing the number of travellers can change the per-person price, since room and vehicle costs are shared
No-show
Failing to arrive without telling us is treated as a cancellation on the day of departure — no refund is due. Unused services during a trip, including unused hotel nights, meals or sightseeing, are not refundable.
If we cancel
We very rarely cancel a confirmed booking. If we do, for any reason other than force majeure or your non-payment, you may choose either:
- An alternative package of comparable standard, with any price difference adjusted, or
- A full refund of everything you have paid us, with no deduction
Force majeure and disruption
Where a trip cannot go ahead because of events outside anyone's control — a natural disaster, a closed pass or airport, civil unrest, an epidemic, or a government restriction — normal cancellation charges do not apply, but neither can we refund money already spent with suppliers who will not return it.
In those cases we will:
- Try first to reschedule your trip, holding your money as credit against new dates
- Pursue every supplier for a refund or credit on your behalf
- Pass back to you whatever we recover, in full, with a statement showing what came back from whom
Visa refusal
A refused visa is treated as a cancellation on the date the refusal is received, and the international slab applies. Visa fees and service charges are not refundable.
This is why we file applications as early as we can, and why we advise against booking non-refundable air tickets before a visa is granted.
If you disagree with a deduction
Ask us for the supporting documents. We will send you the supplier's cancellation statement for anything we have deducted as an actual cost.
If it is still unresolved, write to info@yourtravelsarathi.com marked for the attention of the grievance officer. We acknowledge within 48 hours and respond fully within 30 days. Your rights under the Consumer Protection Act, 2019 are unaffected.
