What you can expect from us, what we need from you, and what happens when travel does not go to plan. Written to be read, not to be hidden behind.

Scope of these terms
These terms apply to every booking made with Your Travel Sarathi, 17 Sanskardham, Nr. Hariom Nagar, Ghodasar, Ahmedabad, Gujarat 380050. They take effect once you pay a deposit or confirm a booking in writing, including by WhatsApp or email. Please read them before you pay.
"You" means the person making the booking and everyone travelling on it. The person who books is responsible for passing these terms to the rest of the party.
Quotations and validity
- Quotations are based on the rates, taxes and exchange rates on the day we quote
- A quotation is an offer, not a reservation. Nothing is held until a deposit is paid
- Unless the quotation says otherwise, prices hold for 7 days, and always subject to availability at the time of confirmation
- Peak-season and festival dates can move faster than that, and we will say so when they do
Booking and payment
Unless your written quotation states different terms:
- Deposit — 25% of the package cost confirms the booking
- Balance — due 21 days before departure for domestic trips, 30 days before departure for international trips
- Late bookings — trips confirmed inside those windows are payable in full at the time of booking
- Air tickets, train tickets, permits and some hotels require full payment at the time of booking regardless of the above, and we will tell you when that applies
If the balance is not received by the due date we may treat the booking as cancelled and apply the charges set out in our Cancellation & Refund Policy.
Pay only to the company account.
Payments should be made to the Your Travel Sarathi bank account named on your invoice, or through a payment link we send you. If anyone asks you to pay a personal account, stop and call us on +91 99798 63378.
What the price includes
Every itinerary we send lists inclusions and exclusions in full. As a general rule, unless stated otherwise, prices are per person on twin sharing and exclude:
- Airfare and train fare, unless the itinerary says it is included
- Visa fees, travel insurance, and any charges for passport or documentation services
- Meals not listed, drinks, and anything from the minibar
- Monument entry fees, camera fees, guide charges and optional activities not listed
- Tips, porterage, laundry and personal expenses
- Anything arising from delay, cancellation or diversion outside our control
Price revisions
We hold the price we confirm. It can change only where an external cost changes after confirmation and outside our control — a government tax or levy, a fuel surcharge, a significant currency movement on an international package, or a rate revision imposed by a supplier for the dates you have booked.
If that happens we will show you the calculation. If the increase exceeds 10% of your package cost you may cancel within 7 days of being told and receive a full refund of what you have paid, without cancellation charges.
Passports, visas and documents
- Valid travel documents are your responsibility. Most countries require a passport valid for at least six months beyond your return date, with blank pages
- We will tell you what a destination requires and, on international packages, we file the visa application for you. We cannot guarantee a visa will be granted — that decision belongs to the embassy alone
- A refused visa is treated as a cancellation, and the charges in our Cancellation & Refund Policy apply. Visa fees are never refundable
- Restricted areas within India — Ladakh, Sikkim, Andaman, Arunachal and others — require permits we arrange, but they need accurate ID details from you in good time
- Names on tickets must match your passport exactly. Corrections after ticketing carry airline charges
Health, fitness and insurance
- You must tell us at the time of booking about any medical condition, mobility limitation, allergy or dietary need that affects travel
- High-altitude trips — Spiti, Ladakh, Kedarnath, Tawang and similar — carry real health risks. Take medical advice before booking if you have heart, lung or blood-pressure conditions
- We strongly recommend travel insurance on every trip, and it is compulsory for most international destinations. It is your responsibility to arrange it unless your package states we have
- We can refuse or end participation in an activity where we reasonably believe it is unsafe for the traveller. No refund is due in that case
Changes to your itinerary
Changes you ask for
Tell us as early as you can. We will do what we can, but changes after confirmation may attract supplier charges, and a change close to departure may be treated as a cancellation and rebooking.
Changes we have to make
Occasionally we have to alter a confirmed arrangement. Where that happens:
- Hotels will be replaced with a property of the same or higher category in the same area
- Sightseeing may be reordered to suit weather, road conditions, traffic or monument closures. The content of the itinerary stays the same wherever possible
- If a significant change is unavoidable and unacceptable to you, you may cancel and receive a refund of what you have paid, less any amount already spent with suppliers on your behalf and not recoverable
Conduct while travelling
Travellers are expected to respect local law, custom and the property of hotels and transport operators. You are responsible for any damage or loss you cause, payable directly to the supplier at the time.
Where a traveller's behaviour endangers others or causes serious disruption, we or our supplier may end their participation. No refund is due, and any cost of onward travel is theirs.
Our responsibility and its limits
We plan your trip, book it and stay contactable throughout. We take care in choosing the hotels, transport operators and local partners we work with.
We act as a booking agent for those suppliers. The service on the ground is delivered by them under their own terms and conditions. We are not liable for loss, injury, delay or expense arising from an act or omission by an independent supplier, or from anything outside our reasonable control.
Where we are liable, our liability is limited to the amount you paid us for the affected part of the package. Nothing in these terms limits liability that cannot be limited under Indian law, including liability for death or personal injury caused by our negligence.
Force majeure
We are not liable for failure to perform where it is caused by events outside our reasonable control. These include war and civil unrest, terrorism, strikes, epidemic or pandemic, government restriction or border closure, natural disaster, landslide, flood, snow, earthquake, fire, and the closure of airports, roads or mountain passes.
In such cases we will do everything reasonable to reschedule your trip or recover what we can from suppliers, and pass back to you whatever is recovered. Amounts already irrecoverably spent with suppliers cannot be refunded.
Complaints
If something is wrong during the trip, tell us at the time — call or message the number you have been booked through. Most problems can be fixed on the spot, and almost none can be fixed after you get home.
If it is still unresolved, write to info@yourtravelsarathi.com within 30 days of returning, with your booking reference. We will acknowledge within 48 hours and respond fully within 30 days.
Governing law
These terms are governed by the laws of India. Any dispute is subject to the exclusive jurisdiction of the courts at Ahmedabad, Gujarat. Nothing here affects your rights under the Consumer Protection Act, 2019.
